Privacy Notice

Digital Tactical Solutions, LLC operates Digital Tactical Worksheets (DTW). This notice explains how information is handled when you visit the website or use its worksheets, training tools, billing, and optional AI features.
Information we handle
- Accounts: name, email address, password hashes, account settings, sign-in sessions, subscription and access-code status, and records of legal acceptance. Passwords are processed for authentication and stored as salted hashes, not plaintext passwords.
- Training and uploaded content: scenarios, photos, instructor notes, room configuration, candidate names or identifiers, station activity, exercise state, and saved records submitted through the service.
- Worksheets: data you enter may be stored on your device, downloaded in exports, or transmitted to DTW when you use a cloud, sharing, live incident, or AI feature. Storage varies by feature; do not assume everything remains on your device.
- Billing: Stripe processes payment details. DTW handles customer and subscription identifiers, plan, payment status, and related billing records. Full payment-card numbers are entered with Stripe rather than stored in the DTW application database.
- Technical and support information: requests, IP addresses or derived rate-limit identifiers, timestamps, browser/device information available to hosting services, errors, and information you send when contacting support.
Why we use information
We use information to provide and personalize the tools you request, authenticate users, run exercises, process subscriptions, prevent abuse, troubleshoot problems, respond to requests, and meet legal and accounting obligations. Account acceptance records identify the document versions and acceptance time.
Who receives information
DTW uses service providers including Cloudflare for hosting, storage, and delivery; Stripe for billing; and OpenAI for optional AI processing. Providers process information under their applicable service arrangements. Information may be processed in the United States and other locations where these providers operate. We may also disclose information when required by law, to protect rights and security, or in connection with a business transfer subject to applicable safeguards.
Instructors, authorized organizational users, and participants may see information shared through rooms, presentations, or live features. Treat room codes, presentation links, downloaded files, and shared device access as sensitive. Avoid real names where a candidate identifier will suffice.
Microphone, audio, and AI features
When you enable audio features, your browser requests microphone permission. Submitted clips are sent through DTW to OpenAI for transcription; interpretation can also send transcripts, configured unit information, and worksheet context to OpenAI. The Radio Assist endpoint does not save submitted raw audio to DTW's server storage. This is not a promise of zero retention by every provider: processing logs, provider retention, and local clips or transcripts may still exist. Do not assume that provider retention is disabled. Only submit information you are authorized to record and transmit, and obtain required consent.
Cookies, device storage, and the public demo
DTW uses session cookies for authentication and browser storage for settings, worksheet state, offline support, and recovery features. Clearing site data may sign you out or permanently remove local work. Shared devices may retain content until you clear it. These functions are separate from payment cancellation.
In the public Scenario Builder Explore demo, selected photos and edits stay in that page's browser memory and are not uploaded or saved by the builder. Static page and starter-image requests still reach our hosting service. Closing or reloading the page discards the demo work. Saving in the instructor editor uses server storage.
Retention and security
Local records remain subject to your browser and device settings. Hosted records are retained according to their operational purpose and applicable legal, accounting, security, and dispute-resolution needs; deleting a room or removing content from a screen may not immediately erase related records, backups, or provider logs. We use access controls and other safeguards, but no system can guarantee absolute security or recovery. Maintain your own approved records and protect your credentials and devices.
Your choices and requests
You can edit supported profile settings, manage billing, control browser microphone permissions, and clear local site data. To request access, correction, export, or deletion of personal information, email contact@digitaltacticalworksheets.com. We may verify identity and organizational authority and retain information where legally required or necessary for legitimate security or dispute purposes. Depending on your location, you may have additional privacy rights and the right to contact your data protection authority. For agency-controlled training or incident records, we may direct or coordinate your request with the responsible organization.
Children and sensitive information
DTW is intended for adult professional and instructor-led use and is not directed to children under 13. Instructor account holders must be 18 or older. Do not submit patient identifiers, protected health information, or other regulated sensitive data without a separate written arrangement addressing required protections. DTW does not represent that a standard account meets HIPAA or other regulated-data requirements.
